The Senior Systems Program Administator is a dynamic force for innovation, driving the optimization and seamless integration of key platforms—including Lucernex, Matterport and ServiceChannel—across the Development Team and supporting departments. This role champions creative solutions, process improvements, and system enhancements that empower teams to work smarter, faster, and more collaboratively.

To give you an idea of team structure, the Senior Systems Program Administrator will work with our entire Development Department including Real Estate, Leasing, Design, Purchasing, Construction, Facilities and Special Projects and cross-functionally with the Clinical Equipment Team, Accounting, Integrations and IT Teams, reporting to the Director of Development Systems.

Below is an overview of the duties and responsibilities you would take on in this role:

System Administration & Support

  • Serve as administrator for Lucernex, Matterport and ServiceChannel, overseeing system upkeep, user support, and process alignment for all platform users.
  • Provide expert guidance and hands-on support for administrative tasks, including user management, permissions, data integrity, and troubleshooting across Lucernex, Matterport and ServiceChannel.
  • Develop and deliver engaging training programs for Lucernex, Matterport and ServiceChannel users, fostering a culture of continuous learning and innovation.

 

Process Improvement & Integration

  • Lead creative initiatives to streamline processes, enhance system integrations, and drive operational excellence across platforms.
  • Collaborate with cross-functional teams to identify opportunities for automation, efficiency, and improved user experience.
  • Design and implement best practices for workflows, adapting and scaling solutions to meet evolving business needs.

 

Collaboration & Communication

  • Initiate and coordinate communications between Heartland teams impacted by Lucernex, Matterport and ServiceChannel ensuring transparency and alignment.
  • Communicate system performance, progress, and analytics insights to executive leadership and stakeholders.
  • Promote the adoption and creative use of these platforms, inspiring teams to leverage technology in new and impactful ways.

 

Vendor & Asset Management

  • Oversee vendor management processes, including onboarding, billing setup, communications, and contract management.
  • Manage the Asset Management system, ensuring accurate tracking and streamlined processes.
  • Manage company and contacts set up in Lucernex and ServiceChannel as required.

 

Continuous Improvement

  • Stay ahead of platform enhancements and participate in continuing education opportunities.
  • Utilize advanced analytics reporting to create, automate, and share insights with all interested stakeholders.
  • Support process improvement and system integration enhancements as a core part of the role, always seeking new ways to elevate team performance and system capabilities.

 

Supervisory Responsibilities

  • Oversee and maintain multiple technology systems to ensure reliability and efficiency.
  • Collaborate with other departments to align technology solutions with business needs.
  • Identify and implement process improvements and automation opportunities.
  • Provide training and support for system users across teams.
  • Monitor performance and share updates with leadership and stakeholders.

Minimum Requirements:

  • Administrative experience with one of Lucernex, Matterport and/or ServiceChannel preferred
  • Strong computer skills, including experience with Microsoft Word, Outlook, Excel, Teams, and PowerPoint
  • Ability to solve complex problems with critical thinking skills
  • Ability to be self-driven and work independently
  • Strong organizational skills, accuracy, and attention to detail
  • Ability to work well under pressure and prioritize multiple tasks
  • Strong leadership skills
  • Strong verbal and written communication skills
  • Ability to lead meetings with the purpose of collaborating with multiple teams
  • Ability to build and maintain rapport with colleagues easily

Physical Requirements:

  • Ability to perform essential duties satisfactorily with or without reasonable accommodation. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties of the position
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
  • Ability to travel with overnight stays as the position requires (Est. 1x per month)
