Senior Program Manager, Specialty Enablement
The Senior Program Manager, Specialty Enablement is a strategic leader responsible for designing, executing, and optimizing programs that drive organizational growth and operational excellence. This role partners with clinical operations and interdepartmental leaders to deliver innovative solutions, manage complex projects, and ensure the highest standards of clinical/operational success for Heartland Dental supported dentists and their teams. The ideal candidate is an operator-minded program leader who has helped scale pilots or initiatives into repeatable operating models.
About Heartland Dental
Heartland Dental is the nation's largest dental support organization, providing non-clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in over 1,900 dental offices. Each Heartland Dental supported office is unique to the community and the patients they serve. Supported doctors are the clinical leaders of their practice, retain full clinical autonomy, and establish their own care philosophies. All Heartland Dental supported doctors are united by a common goal: delivering the highest quality dental care and patient experiences.
To give you an idea of the team structure, you will work on a project team within clinical/operations, reporting to the director of clinical/operations with a direct connection to programs supported by Clinical/Operations.
Program Ownership & Execution
- Own assigned Specialty programs end-to-end, from intake through value realization, including scope definition, success criteria, execution, and post-implementation performance monitoring.
- Lead program management for multiple Specialty initiatives, including pilots, rollouts, working groups, and scale efforts.
- Translate loosely defined goals into executable plans by creating structure, timelines, milestones, dependencies, and resource plans where requirements are not fully defined.
- Ensure initiatives stay on track, on time, and aligned with strategic Specialty Capture objectives.
- Track and report realized business value post-launch, ensuring programs deliver intended financial, operational, and clinical outcomes.
Cross-Functional Execution & Coordination
- Lead execution across cross-functional teams—including Specialty Operations, Field Operations, IT/AppDev, Finance, Analytics, Legal, and external partners—owning outcomes and follow-through rather than acting solely as a coordinator or status reporter.
- Serve as the central point of accountability for roles, responsibilities, handoffs, and execution clarity.
- Proactively identify and resolve cross-functional dependencies, risks, and roadblocks that could impact delivery or adoption.
Standardization & Scale Enablement
- Convert Specialty pilots into standardized, repeatable operating models ready for scale.
- Partner with leadership and functional teams to build playbooks, governance structures, templates, and field-ready execution models.
- Drive consistency across pilots and rollouts to support scalable, repeatable execution across regions and specialties.
- Capture learnings and best practices to continuously improve future initiatives.
Stakeholder & Leadership Communication
- Serve as the primary point of contact for program status, risks, decisions, and execution health.
- Prepare leadership-ready updates, executive summaries, and materials for senior leaders and decision forums.
- When preparing presentations, synthesize complex inputs into clear recommendations, explicitly framing trade-offs, risks, and options to support executive decision-making.
- Facilitate working groups, cadence calls, and decision forums to maintain momentum and alignment.
Risk, KPI & Performance Management
- Identify, track, and mitigate program risks and issues before they impact timelines, adoption, or ROI.
- Define, track, and report KPIs tied to execution progress, adoption, and value realization.
- Leverage dashboards and operational data to inform decisions, identify trends, and proactively manage program performance.
- Escalate risks and issues with clear context, recommendations, and options.
Change Management & Adoption
- Design and support change communication strategies that account for independent doctor decision-making, partnering closely with field leadership to drive voluntary adoption.
- Ensure readiness, training, and engagement across supported regions and stakeholders.
- Monitor post-launch adoption, execution consistency, and sustained performance.
Minimum Qualifications
- Bachelor’s degree in Business, Finance, Accounting or a related field or 4+ years of commensurate experience required
- 6+ years of project management experience, demonstrating strong execution, sound judgment, and cross-functional leadership
- Healthcare industry experience preferred, but not required.
- Demonstrated ability to produce high-quality, executive-ready PowerPoint presentations, including storyline development, data synthesis, and clear executive-level recommendations.
- High comfort levels with Microsoft Excel with the ability to track, manipulate, and standardize data across multiple sources and initiatives
- Strong organizational and prioritization skills, with the ability to manage multiple complex initiatives simultaneously.
- Proven self-starter with the ability to operate independently, take ownership, and drive outcomes with minimal oversight.
- Ability to work effectively in a fast-paced, dynamic environment with shifting priorities and incomplete information.
- High degree of flexibility and adaptability, with comfort navigating ambiguity and evolving program requirements.
- Excellent written, verbal, and presentation skills, with the ability to communicate clearly across executive, field, and cross-functional audiences.
- Strong customer service mindset, with experience supporting stakeholders and partners in high-visibility, high-impact environments.
- Familiarity with financial statements and the impact of business decisions of a P&L
